Performs advanced, diversified and administrative duties requiring broad and comprehensive experience, skill, and knowledge of organizational policies and practices.  Will be responsible for scheduling travel for executives and sales staff. Depending on the workload, they may be trusted with carrying out tasks for one or many individuals within an organization, and cross-organizational work is sometimes necessary.


  • Accurately schedule appointments, meetings, and all travel itineraries including making reservations for travel, hotels, transportation, and obtaining/presenting required travel documents.
  • Schedule and organize on and offsite events, catering, meetings, and training (locally and nationwide).
  • Assist Marketing with event planning, preshow fulfillment.
  • Strong aptitude for software application, database, CRM & search tools.
  • Screens telephone calls and visitors and resolves routine and complex inquiries.
  • Will provide backup for Executive Assistant to CEO and receptionist.
  • Coordinates activities between departments and outside parties.
  • Compile travel data/expenses for Finance.


  • Excellent interpersonal skills and ability to effectively interface with people at all levels inside and outside the company
  • Ability to research, collect, organize, and analyze data
  • 3 years experience as an Administrative Assistant.
  • Proficient in MS Office (Word, Excel, Access, PowerPoint).
  • Experience setting up business travel or training in travel.
  • Experience using CRM databases: ACT and Salesforce.
  • Ability to efficiently coordinate and prioritize tasks and work well under pressure.
  • Must be an independent worker and be able to perform with minimal supervision.
  • Must be flexible and available to work additional hours as needed.
